Your Role

What You Will Do

General Overview 

  • Work closely with your internal clients – accounting team members, project accountants, finance leadership, and Gensler’s staff
  • Enter trade vendor invoices
  • Enter and report daily cash received via lockbox, ACH/wires and live checks
  • Other reporting, tasks, and special projects to be assigned as needed

Payables

  • Accurately code & enter vendor and consultant invoices into Deltek Vision
  • Resolve invoice discrepancies and handle vendor inquiries
  • Review and reconcile Open AP Vouchers
  • Process wires and ACH payments

Expense Reports 

  • Audit expense reports weekly
  • Ensure employee expense reports meet company’s guidelines
  • Manage submitted expense reports in Deltek Vision to ensure reports are being   reimbursed within 30-days of submission date
  • Handle employee inquiries concerning expenses and expense advances
  • Conduct expense report training for new hires

Timesheet Administration 

  • Send weekly reminders to staff to enter their hours into Deltek Vision
  • Review timesheets to ensure hours and project numbers are entered appropriately
  • Resolve timesheet discrepancies, which include manual labor transfers, missing comments & approval signatures
  • Enter manual timesheets into Deltek Vision
  • Conduct timesheet training for new hires

Your Role
